Attributes used to tag a Contact with specific properties or values which can be used to group Contacts together for the purpose of contacting or reporting.
Attributes are grouped by a specific 'Attribute Type'. We recommend planning an attribute structure that reflects your current or planned organisational practices/processes.
Creating an attribute type
To create an attribute type you will need to have a user account with administrative access. Navigate to the admin panel and click on the 'Attributes' option. You will be taken to the attribute management page. Vega has several attribute types already available and you can view these in the dropdown list labelled 'Select Type'.
To create a new attribute type click on the 'Add Attribute Type' button. You can now enter the desired attribute type name in the 'Type Name' text box. Click the save button once you have finished adding the new attribute type.
Creating an attribute
To create an attribute you will need to ensure you are on the attributes management page. Select the attribute type that you would like to add the attribute to from the 'Select Type' dropdown list. Once you have selected the attribute type you wish to add an attribute to click on the 'Add Attribute' button on the top right side of the page.
Add the name of the new attribute to the 'Attribute Description' text box. You can add a description of the attribute as well as what it is to be used for in the 'Attribute Notes' text box.
The 'Is Active' and 'Is Visible' options are required to be able to see and use the attributes. Deselecting the 'Is Active' checkbox will make the attribute inactive and it can no longer be used. Deselecting the 'Is Visible' option will hide the attribute in Vega. Note that if the 'Is Visible' option is deselected then you will not be able to modify it or add it to contacts in Vega.
The 'Is Unique' option is used to make this attribute unique. When an attribute is unique it's status will change to 'Closed' when another attribute of the same attribute type is add to the contact. Likewise, when an attribute that is unique is added to a contact all other attributes which have the same attribute type will be closed.
The 'Is Foundation' option is used to add this attribute to all new records added to Vega.
The 'Auto Renewal' option is used to add the ability for the attribute to renew automatically when the end date is reached.
The 'Collation' text box can be used to specify the order in which this attribute is displayed in a dropdown list. the lower the number the further up the list it will appear. Note that Vega uses 100 by default.
The 'Sub Type' dropdown list should be set to 'none'. This option allows you to add new mail status and entity status attributes and specify if they should be displayed when the 'is active' is selected or not selected on the Contacts page.
The 'Security Level' dropdown list allows you to set the permission level of the attribute.
The 'Add Attribute Rule' button on the top right of the page is used for adding a workflow to this attribute and is covered in the 'Setting up Workflows' article which can be found here. Note that you must save a new attribute before you add a workflow to it.
Once you are finished click the 'Save' button to save the changes.
