A Linked User allows you to associate one or more Vega users with an attribute. This can be used to:
- Restrict a user's access so they can only view contacts linked to them through an attribute.
- Allow users to quickly search for contacts they are responsible for.
- Display the responsible user whenever the attribute is viewed on a contact.
This feature is particularly useful for managing relationships such as:
- Volunteers and their volunteer managers.
- Major or VIP donors and their assigned relationship manager.
- Members and their account manager.
Note: If you need help creating attributes, refer to the Managing Attributes article before continuing.
Configuring Linked Users
- Navigate to Admin > Attributes.
- Select the appropriate Attribute Type and Attribute.
- Click the Advanced Attribute Form option.
The Advanced Attribute Form will open. In this article, we will focus on the Linked Users section highlighted below.
Adding a Linked User
Click Add Linked User to open the Linked User window.
User
The User list contains all active users in your Vega system. Select the user you want to associate with this attribute.
Relationship
The Relationship list is populated from the system attribute type Attribute User Relationships.
You can create additional relationship values by adding new attributes to this system attribute type. Examples might include:
- Volunteer Manager
- Relationship Manager
- Account Owner
Selecting a relationship is optional. If you do not require one, leave this field set to None.
In this example, we will link the Volunteer Manager responsible for the volunteer position.
After saving, the linked user will appear in the Linked Users section of the Advanced Attribute Form.
Editing or Removing a Linked User
To edit a linked user, click anywhere on the row to reopen the Linked User window and update the details as required.
Any changes made here will automatically apply to every contact using this attribute.
To remove a linked user, untick the Active checkbox and save.
The linked user will remain visible in the Advanced Attribute Form with:
- Active set to False.
- The date the link was made inactive.
Inactive linked users are no longer displayed on contacts using the attribute.
Viewing Linked Users on a Contact
When an attribute containing a linked user is assigned to a contact, the linked user information is displayed on the contact record.
The Linked User and Relationship columns are only displayed when at least one linked user has been configured for an attribute in that attribute group.
An attribute can have multiple linked users, and all active linked users will be displayed on the contact.
Note: The example above also includes a Location Linked Attribute. For more information, see the Linked Attributes article.
Example Use Cases
Linked Users can be used whenever you want to associate a Vega user with an attribute so that ownership, responsibility, or access can be easily identified. Common examples include:
- Volunteer Manager – Link the staff member responsible for overseeing volunteers assigned to a particular role or location.
- Fundraising Manager – Associate a major donor or donor group with the fundraiser responsible for managing that relationship.
- Regional Coordinator – Link a coordinator to members, volunteers, or contacts within a specific region.
- Account Manager – Assign a staff member to organisations, sponsors, or key contacts they manage.
Depending on how your organisation uses Linked Users, these relationships can also be used to filter contacts, restrict user access, or quickly identify the staff member responsible for a contact or attribute.
