It is possible to link a user to an attribute. This can be used to then limit that user's access to only see contacts they are linked to via an attribute, allow a user to easily search contacts they are linked to via an attribute, or simply to identify a user connection when anyone is viewing a contact with this attribute. This functionality can be very useful when managing volunteers and their managers or high/VIP donors and the staff member responsible for these.
Please see the article here if you need instructions on adding attributes.
From Admin > Attributes > Select your Attribute Type and Attribute
Select the option to go to Advanced Attribute Form as shown below:
This will load the screen shown below and in this article, we will be looking at the highlighted section, Linked Users:
Clicking the Add Linked User button will load the pop-up shown below:
The options shown in the Users dropdown are populated with each active user in your vega system.
The options shown in the Relationship dropdown are populated from the system attribute type 'Attribute User Relationships'. You are able to add new attributes to this type to then show in the dropdown when linking a user. It is not a requirement to include a relationship for the linked user, this dropdown can be left as None if preferred.
For this example we will add the volunteer manager who is responsible for this volunteer position:
After saving the new linked user it will show on the advanced attribute form:
A linked user can be updated by clicking on the row to load the pop-up and changing the details. Changing the details here will update it on all contacts with the attribute. The linked user can also be removed by unticking the active checkbox. This will still show in the advanced attribute form but have false under the Active column and show the date that this user link was made inactive. This will no longer show the linked user on all contacts with the primary attribute.
When the primary attribute is added to a contact with a linked userit will display on the contact as shown below:
The linked user and relationship columns will only be displayed when there is a linked user attached to an attribute added for this attribute group.
An attribute can have multiple linked users and these will all be displayed on the contact.
The above screenshot also includes a location linked attribute, see how to configure Linked Attributes.
