User roles are defined when a user is created from Admin > User Maintenance and a system admin user will have access to update existing users, apart from your own user, please see the article here for more detail.
In vega, there are different roles available to assign to your users; System Admin, Dashboard View, General Staff, Telefundraiser, Volunteer Admin, and Read Only.
System Admin users are the only users that are able to make other users inactive within your organisation under the User Maintenance section.
Each role in vega is paired with a set of custom checkbox options and will default select these settings based on the role chosen. They can be manually changed to further customise the access for individual users. Some checkboxes will be hidden when they are not available for that role.
Please see the detail on each checkbox setting for the Contact sections below:
Setting | Explanation |
When this checkbox is available and ticked it will give the user access to the Contacts tab, including the custom query tool and the ability to view, edit, and create contacts. If this option is unticked it will hide the Contacts tab from the user's login and they will not have access to view any contact dashboards from within your organisation. If the user has access to the Money tab they will be able to search contacts to add payments within a batch and see contact names and details on the payment form but they will not be able to open the contact dashboard from here. Unticking this option will also hide the options for Contact Payments, Contact Mailings, and Contact Notes as these are all within the Contact Dashboard. |

When this checkbox is available and ticked it will give the user access to a limited Contacts tab. The contacts available to the user will be restricted to only those on a list assigned to the user or contacts with an attribute linked to the user. The user will not have access to the Vega Preset Queries, My Queries, or My Lists from the Contacts tab and they will not be able to create new contacts. The search bar on the Home and Contacts tabs will be restricted to My Contacts only. If this option is unticked all contacts will be available to the user. |

When this checkbox is available and ticked it will give the user access to view, edit, and create payments from within a contact dashboard. If this option is unticked it will hide the Payments & Recurring tab and the Add Payment button from within a contact, as well as the Payments & Recurring tab within the query tool. Preset queries related to payments will still be available if the role is System Admin, General Staff, or Ready Only. If the Money setting is still ticked the user will have access to the batches and be able to view, edit and create payments from here. With Money ticked and Contact Payments unticked the user will see the Payments & Recurring tab in the query tool. |

When this checkbox is available and ticked it will give the user access to the Notes tab on a contact. If this option is unticked it will hide the Notes tab on a contact, preset queries related to notes will still be available if the role is System Admin, General Staff, or Ready Only. |

If this option is unticked it will hide the Money tab and the Add Batch button on the Home tab from the user's login, as well as the Payments & Recurring tab from within the query tool. If the user has the Contact Payments option ticked then they will still be able to view, edit, and create payments directly on a contact. |

When this checkbox is available and ticked it will give the user access to the Engage tab, including the ability to view, edit, and create campaigns. If this option is unticked it will hide the Engage tab but the user will be able to see the Campaigns and Mailings tabs on a contact if the Contact Mailings setting is ticked. |

When this checkbox is available and ticked it will give the user access to the Insights tab. If this option is unticked it will hide the Insights tab but the user will still have access to all queries if the Contacts option is ticked. |

When this checkbox is available and ticked it will give the user access to the Attribute Maintenance page where they can view, edit, and create attributes. If this option is unticked it will hide the Add Attribute button from the Home tab and the Attributes option from the quick links dropdown. |
System Admin
- These users will have full access to view and manage all functions within your organisation.
- You can set as many users as necessary with this system admin role.
- Admins are the only users that can see and open notes with System Administrator security for all contact notes.
- They are the only users that will have access to the Admin tab within vega.
- Admin users will have all options selected as default but these can be edited to customise the access:
Dashboard View
- This role can be used for users who do not need access to any contacts or functionality within vega but need to see reports and metrics on your organisation.
- A user with this role will see reports on contacts, payments, and recurring payments, with the option to choose a date range and specific campaigns for the payments.
- This role will only show two custom settings available; Contacts and Money and these refer to the two report options within this role:
- Contact reports include Active Contacts, Active Contacts By Contact Preference, Active Contacts By Recruit Year, Active Contacts by Recruit Campaign, New Contacts This Month, and Average New Contacts Per Month.
- Payment reports include a date range and campaign filter and include Active Contacts, Total $ Value, Avergae $ Value, Average $ Value by Campaign, $ Value by Payment Type, $ Value by GL code, $ Value by Campaign. Recurring Payment reports include Active Contacts, Total $ Value Processed, Avergae $ Value Processed, Average $ Value Processed by Campaign, Recurring Contacts, Recurring Values, $ Value by Payment Type, $ Value by GL code, and $ Value by Campaign.

General Staff
- The General Staff is a great user role to assign to your non-management staff. This user role can manage and access all sections in vega except the Admin page and the functionality based here.
- This role will not see the Add Document button on the Home tab unless the additional checkbox is ticked.
- There is also the option to allow this user to access the Attribute Maintenance and this will be available as a button from the Home tab and the quick links dropdown.
- This role can access Home, Contacts, Engage, Money, Insights, and Solutions tabs with all functionality within these areas.
- General Staff users will have the below options selected as default but these can be edited to customise the access further:
Telefundraiser
- A Telefundraiser can be assigned this role to limit their access in vega to only the Contacts and Solutions tabs.
- This role will not display Money, Engage and Reports checkboxes as these are always hidden from this user role.
- The My Contacts option will be ticked as default to limit the access to only show the user-assigned lists or contacts with an attribute assigned to the user. This option can be unticked if you would like this user to have access to all contacts in your organisation.
- This role will see their Current Call List instead of the Recent Contacts list.
- Telefundraiser users will have the below options selected as default but these can be edited to customise the access further:
Volunteer Admin
- This role can be assigned to any staff who should have limited access in vega to the Contacts and Solutions tabs only.
- The My Contacts option will be ticked as default to limit the access to only show the user-assigned lists or contacts with an attribute assigned to the user. This option can be unticked if you would like this user to have access to all contacts in your organisation.
- The Contact Payments and Contact Mailings options will be unticked as default but these can be ticked to enable a user to see these areas on the Contact Dashboard if required.
- Coordinator users will have the below options selected as default but these can be edited to customise the access further:
Read Only
- This role is able to have access to the Home, Contacts, Money, Insights, and Solutions tabs in vega.
- These users will not see any action buttons so cannot make changes to data or edit any of the configurations within vega.
- This user will be able to view preset and organisation query results but cannot create new ones or edit them.
- This role could be used for senior management who don't use the system on a day-to-day basis but they may only need access to the system to view reports and act accordingly.
- Read Only users will have the below options selected as default but these can be edited to customise their access further:
