Printing and Emailing Batch Receipts

Once a batch has been posted, you can generate receipts for all payments in the batch.

The Batch screen displays:

• The total value of the batch.
• The total number of payments in the batch.
• A list of all payments included in the batch.

From this screen, you can print or email receipts for the entire batch.

Print Batch Receipts

To print receipts for all eligible payments in the batch:

1. Open the posted batch.
2. From the Output drop-down menu, select Print All Receipts.
3. Click Output Batch Now.

An alert will appear confirming the action.

From here you can:

• Print the receipts.
• Save them as PDF files if required.

Note: All generated receipts are automatically saved against the donor's record in Mailings & Email Receipts.

Email Batch Receipts

To email receipts for all eligible payments:

1. Open the posted batch.
2. From the Output drop-down menu, select Email All Receipts.
3. Click Output Batch Now.

When processing is complete, Vega displays a confirmation message showing the number of receipts processed for sending.

Note: Sent Items represents the number of receipts that Vega has processed for sending. It does not confirm that every receipt was successfully delivered. To verify whether any emails failed to send, check the Email/SMS Log under Admin.

Print Unprocessed Receipts

After emailing receipts, you can print receipts for any contacts who did not receive an email.

1. From the Output drop-down menu, select Print Unprocessed Receipts.
2. Click Output Batch Now.

Vega will generate receipts only for the contacts whose receipts were not successfully emailed, allowing them to be printed and sent by post.

Notes

• Batch receipts can only be generated once the batch has been posted.
• Printed and emailed receipts are automatically recorded in the contact's Mailings & Email Receipts history.
• If a receipt cannot be emailed, verify that the contact has a valid email address before attempting to resend it.
