Attributes that EXPIRE
An obvious Attribute that expires is a Membership. Memberships usually run for a year and expire at a set date or on the anniversary of the Member joining. You declare this when you set up a Membership Attribute structure in Vega. Check Memberships and Subscriptions under the ADMIN section of Vega.
- Other attributes that expire include;
- Drivers Licenses
- First Aid Certificates
- Police Background Checks
You can set an end date to an Attribute and a Vega workflow will remind you of the need to renew prior to the expiry.
Exclusive Attributes
Exclusive attributes are attributes that only allow you to have one current attribute of this type at any one time. By current attribute, we mean all other attributes of the same type must be marked as closed if this attribute is added.
An example would be a Grade attribute in a discipline. I cannot be a brown belt and a black belt at the same time. Usually, I cannot be a Gold Member and a Silver Member at the same time. If you add Black Belt to my record then Vega Automatically closes the Brown Belt designation.
This is useful for journey management. I cannot be a prospect and a donor at any one time. As soon as I give a gift my status as Prospect is closed and a new attribute Donor is added.
Foundation Attributes
Foundation Attributes allow you to set attributes that everyone gets automatically.
Attribute Groups or Subtypes
These must be sued carefully and indicate that an attribute can have special characteristics. An Example is the key ENTITY STATUS and CONTACT STATUS attributes that are displayed on the main supporter dashboard.
These attributes have two groups, Active or Inactive. Thus, Entity Status Attributes that indicate the contact is Active must have the ACTIVE subtype.
Attributes connected to workflows
Attributes can trigger workflows that send documents based on the attribute. An example is an induction process. Say the attribute given to anyone registering on the website is Website Registration.
- When someone receives this attribute;
- Within 1 day they receive an endorsement and welcome communication
- Two weeks later they receive a follow-up with further information and perhaps a request for a donation
- You may branch the workflow here depending on whether they donate or not.
Four weeks later they receive further information
Other obvious Attributes are someone joining a Regular Giving Programme. This has important dates in its lifecycle and Vega workflows will help you manage those dates.
Attribute Data
- Attributes associated with an individual can have;
- A START DATE
- An END DATE or EXPIRY Date
- A VALUE or text for example;
- Attribute Type = Injury Type
- Attributes = Broken Bone, Cuts, Bruising
- Attribute value = Severity of injury
A STATUS that is OPEN OR CLOSED
An Auto Renew Flag which causes the attribute to “roll over” and renew for another year if it expires. This can be associated with a workflow that informs the contact.
