Overview
My Reports provides access to reports and published queries that have been assigned to your user account. From this page you can:
- Run standard reports.
- Run published report queries.
- View results as a table, chart or KPI (where supported).
- Export report results to Microsoft Excel.
- Email a secure download link to other Vega users.
Important: Reports and queries will only appear if your Vega System Administrator has granted you access.
Open My Reports
You can access My Reports by either:
- Selecting the Quick Links button from the header and choosing My Reports, or
- Navigating to Insights > Dashboards > My Reports.
Navigate My Reports
The My Reports page is divided into two main sections:
- Left panel – Displays the list of report groups and published queries available to your user account.
- Right panel – Displays the selected report or query, including its description, filter options, results, charts and export options.
Across the top of the page you will find:

Your logged in username is displayed at the bottom of the page.
Find a report
Reports are organised into report groups, making it easier to locate the information you need.
Examples include:
- Financial Analysis
- Membership Analysis
- Recurring Management
- Campaign Analysis
Click a report group to expand or collapse it.
If reports have been marked as favourites by your administrator, they will appear in the Favourites section at the top of the page.
Search for a report
Use the Search field above the report list to quickly locate a report or report group.
Matching report groups will automatically expand while searching.
FavouritesReports marked as Favourites by your administrator are displayed in the Favourites group at the top of the report list. This group automatically expands when you open My Reports. If no favourite reports have been assigned, the first available report group will expand by default. Opening and closing groupsSelect a report group heading to expand or collapse the list of available reports. The number displayed beside each group indicates how many reports it contains. SearchingUse the Search field above the report list to quickly locate a report or report group. Matching report groups will automatically expand as you type. Clearing the search restores the report groups to their previous expanded or collapsed state. |
Running a report
Select a report from the list to display its description and available report options.
Depending on the report, you may be asked to enter information such as:
- Date ranges
- Text or numeric values
- Dropdown selections
- Multiple selections
- Checkbox options
| Control | Description |

| Date | Select a date using the calendar picker or enter it manually. |
| Text / Number | Enter a text value or numeric value, such as a name or amount. |
| Dropdown List | Select a single option from the available list. |
| Multi-select List | Select one or more options. Use the Clear link to remove all selected values. |
| Checkbox | Enable or disable an option by selecting or clearing the checkbox. |
Some reports contain optional filters that can be expanded by selecting the arrow beside the filter section.
Once all required information has been entered, click Run Report.
The report results will be displayed once processing has completed.
Linked dropdown lists
Some dropdown lists depend on another selection being made first. For example, the Attribute list will remain empty until an Attribute Type has been selected. Once the parent field is selected, the related options will automatically become available.
After completing the required report options, click Run Report. A loading indicator will be displayed while the report is generated. Once processing is complete, the results will appear on the page.
Reading your results
Results appear in a grid beneath the report's options.
From the results grid you can:
- Sort columns by selecting a column heading.
- Search within the returned results.
- Navigate between pages.
- Increase the number of displayed records.
- Scroll horizontally on reports with many columns.
View charts and KPIs
Where supported, reports can also be displayed as charts or KPI summaries.
Available options may include:
- Grid
- Bar Chart
- Line Chart
- Pie Chart
- KPI
Switching between views does not rerun the report, allowing you to quickly compare different visualisations.
Charts can also be downloaded as an image using Download Chart.
Charts are available when a report contains data that can be grouped (for example, by Pay Type or Campaign) and includes values that can be summarised, such as donation amounts.
A KPI (Key Performance Indicator) is available when a report contains summarisable values. Unlike a chart, a KPI displays a single key figure rather than a grouped comparison.
Chart titles and labels are generated automatically based on the selected data. For example, Sum of Amount by Pay Type displays the total amount for each payment type.
Export report results
Select the arrow beside Export to Excel to choose an export method.

| Export to Excel | Generates the Excel file and provides a download link once it has been created. |
| Export & Email Link | Emails a secure download link to one or more Vega users. Multiple email addresses can be entered by separating them with commas. |
Exports are generated in the background, allowing you to continue working while the file is prepared.
Tip: Download links remain available for 30 days.
Run published queries
Published queries assigned to your user account appear under the My Queries section.
Unlike standard reports, published queries already contain their saved search criteria.
To run a published query:
- Select the query.
- Click Run Report.
Published queries support the same features as reports, including:
- Sorting
- Searching
- Paging
- Excel export
- Email download links
- Charts and KPIs (where configured)
Important: If a published query does not display charts, no chart configuration has been saved for that query.
Troubleshooting
❓A report is missing
Reports must be assigned to your user account by a Vega administrator through Admin > User Maintenance > User Settings > My Reports.
❓The My Queries section is not displayed
Published queries must first be created in the Query Tool, published to My Reports/Data Exchange, and assigned to your user account.
❓A dropdown list is empty
Some dropdown lists depend on another selection being made first. Complete the preceding field to load the available options.
❓My export has not finished
Large reports may take longer to generate. You do not need to keep My Reports open while the export is being prepared. Once complete, the download link will be available on screen or delivered by email if Export & Email Link was used.
