Overview
The My Reports tab in the Edit User Wizard controls which reports and published queries an individual user can access from My Reports.
From this tab you can:
- Grant or remove access to standard reports.
- Grant or remove access to published report queries.
- Add reports or queries to the user's Favourites list.
- Control whether anonymous contact details are masked on supported reports.
Changes are applied immediately after each row is saved.
Open the My Reports tab
- Navigate to Admin > User Maintenance.
- Open the required user.
- From User Settings, select the My Reports tab.
Grant access to reports
The upper grid contains all available system reports.
Because there may be many reports available, the grid can be filtered by Report Group.
Select a report group
Use the Report Group drop-down list to display reports within a specific category.
Options include:
- Individual report groups
- All Groups to display every report
The selected report group remains active while you continue editing permissions.
Configure report access
Locate the required report and click the Edit (✎) icon.
The following options are available.
| Option | Description |
|---|---|
| Viewable | Displays the report on the user's My Reports page. Untick to remove access. |
| Favourite | Adds the report to the user's Favourites section for quick access. |
| Mask Anonymous Contacts | Hides the details of contacts marked as anonymous. This option is only available for reports that support anonymous masking. |
Click Save to apply the changes for that report.
Important: Each report is saved individually. There is no separate Save button for the entire page.
If the Queries grid is not displayed
The Queries grid is only displayed when at least one query has been published.
To make a query available:
- Open the Query Tool.
- Publish the query.
- Enable Add to My Reports/Data Exchange.
- Assign the required user access.
Once published, the query will appear in the My Reports tab where access can be granted to individual users.
What happens after saving?
Once a report or query has been saved:
- Reports marked Viewable become available on the user's My Reports page.
- Published queries appear in the My Queries section.
- Items marked as Favourite appear in the user's Favourites group.
- Removing the Viewable option immediately removes access for that user.
Removing access does not delete the report or published query. It only removes it from that user's view.
Troubleshooting
The My Reports tab is empty
If no reports or published queries are available, there is currently nothing that can be assigned to the user.
The Queries grid is missing
Queries must first be published from the Query Tool with Add to My Reports/Data Exchange enabled. Until a query has been published, the Queries grid will not be displayed.
Mask Anonymous Contacts cannot be selected
This option is only available on reports that support anonymous contact masking. If the field is blank, the report does not support this feature.
A report or query was removed accidentally
Edit the row, re-enable Viewable, and save the changes. The report or query will immediately become available to the user again.
