In Vega, every contact record has an Account Status that determines whether it is Active or Inactive. This setting can be updated from the contact record under the Contact section.

Active contacts are included in:
- searches
- queries
- reports
Inactive Contacts
Inactive contacts are hidden from standard searches and reports, but they can still be accessed using:
- the Search Inactive Contact option
- certain preset queries
Deleting Contacts in Vega
Vega does not include a general contact deletion function for standard contact records. However, contact records can be deleted when they are identified as duplicate records during the merge process.
To do this, go to:
Admin > Merge Contacts
When merging duplicate contacts, selecting the Delete After Update option will delete the contact record that is no longer required after the merge is completed.
Important: Deleted contacts cannot be recovered, so please ensure the correct record is being removed before completing the merge.
Why Vega does not offer direct contact deletion
Vega is designed to protect the integrity of your contact database. Because contact records may be linked to other information and historical activity within the system, direct deletion of standard contact records is intentionally restricted.
Instead, Vega uses Inactive status as the primary way to remove contacts from day-to-day use while still preserving historical data and reducing the risk of accidental loss. Where a contact has been identified as a duplicate, it can be removed through the Merge Contacts process using the Delete After Update option.
For larger clean-up projects, Vega Support can assist with bulk deletion where appropriate.
Request a Bulk Deletion Service
If you need to permanently remove a large number of contact records, Vega can assist with bulk deletion as a paid service. Bulk deletion services are quoted on a case-by-case basis. A customised quote will be provided based on the number of contacts involved and the scope of work required, including any support needed to identify, review, and validate the records to be deleted.
Bulk deletion is not simply a matter of removing records from the database. Because this process involves the permanent deletion of contact data from a live production environment, it is handled carefully to reduce risk and ensure the correct records are removed without affecting related data.
As part of a bulk deletion request, Vega may carry out a number of checks and preparation steps, including:
- reviewing the deletion request and confirming the scope of records to be removed;
- validating the list of contacts provided, including confirming the correct identifiers and selection criteria;
- checking for linked transactions, payment history, or other dependencies that may affect whether records can be safely deleted;
- reviewing related contact data, such as mailing history, attributes, and linked records, to understand the impact of deletion;
- preparing and carrying out the deletion in a controlled manner; and
- completing post-deletion checks to confirm the process has run correctly and only the intended records have been removed.
Because this work permanently removes data from a live system, it may be scheduled outside normal business hours where appropriate.
Important before requesting bulk deletion
Bulk deletion is permanent and irreversible, so it is important to review the records carefully before submitting a request.
Please ensure that:
- the correct contacts have been identified for deletion;
- any linked transactions, payment history, mailing history, attributes, or related records have been reviewed; and
- the records are not required for audit, accounting, or compliance purposes.
If contact records contain payment or transaction history, extra care should be taken before deletion. Under New Zealand Inland Revenue requirements, businesses must generally retain business and financial records for at least 7 years.
Where there is any uncertainty, we recommend marking the contact as Inactive rather than requesting permanent deletion.
