Once your raffle campaign has closed and ticket sales have been audited, you can create and run your raffle draw in Vega.
If you have opted for the Vega Support Configuration, the raffle draw setup and functionality are included as part of the configuration.
Before the draw is run, your organisation should complete a thorough audit of your raffle ticket sales and fundraising data to ensure the information in Vega is accurate. You should also use the draw insights described in this article to verify the draw population and ticket numbers.
Important: Once the draw has been set up and the draw population has been verified, an authorised member of your organisation should review the draw and be responsible for running it.
⭐Before You Begin
Before setting up your draw, make sure you have:
- Completed an audit of your raffle ticket sales and donations.
- Confirmed that the raffle campaign data in Vega is accurate.
- Determined which contacts should be included in the draw.
- Confirmed the number of winners to be selected.
- Confirmed the draw date and time.
If you have not yet completed your ticket sales audit, see Auditing Your Raffle Ticket Sales.
Define Your Draw
You can create multiple draws under the same raffle campaign. For example, you may have several subset draws as well as one overall draw.
If a draw should include only a specific group of contacts, you will need to create a custom query to define the contacts who should be included.
Note: When a custom query is used to define the contacts included in a draw, all tickets purchased by those contacts under the same campaign header will be included in the draw, regardless of which raffle channel the tickets were purchased through.
If the draw should include everyone who purchased a ticket through the campaign, you can use the default All Campaign Respondents option instead of creating a custom query.
Set Up a Raffle Draw
A raffle draw is created as a Campaign Action under the campaign header used for your raffle channel(s).
- Open your raffle campaign.
- Select New Action.
- Select Raffle Draw as the action type.
Enter the Draw Details
Complete the draw details:
| Field | Description |
|---|---|
| Name | Enter a name for the draw. Use a descriptive name so that you can easily distinguish between multiple draws. |
| No. of Winners | Select the number of winners to be drawn. |
| Draw Date | Select the date the draw will take place. |
| Time | Select the time the draw will take place. |
| Draw Type | Select whether the draw will use One Entry Per Ticket or One Entry Per Contact. |
| Draw Query | Select a custom query or All Campaign Respondents to define who is included in the draw. |
| Is Active? | This is selected by default. An active draw can be run. If you identify an error in the draw setup, deselect this option before the draw is run. |
There are two draw types available:
One Entry Per Ticket
Every ticket is entered into the draw selection pool, giving each ticket an equal chance of being selected. The draw produces a winning ticket number.
One Entry Per Contact
Each contact who has purchased tickets is entered into the draw selection pool once, giving each contact an equal chance of being selected regardless of how many tickets they purchased. The draw produces a winning contact.
Tip: Select the draw type that matches the rules of your raffle and how winners are required to be selected.
Click Save to save the draw details.
Once saved, Vega will populate the draw insights on the left-hand side of the screen.
Review the Draw Insights
Before running the draw, review the draw insights to confirm that the correct contacts and tickets have been included.
The insights contain three tabs:
- Draw
- Contacts
- Tickets
| Insights | Explanation |
DrawThe Draw insights provide an overview of the draw, including:
|
|
ContactsThe Contacts tab displays each contact included in the draw, along with their ticket numbers. Review this list to confirm that the expected contacts have been included.
|
|
TicketsThe Tickets tab displays each individual ticket number included in the draw. The Ticket Count will normally be 1 for each ticket number. You can sort the table by Ticket Count to check for duplicate ticket numbers.
|
Important: Your organisation is responsible for confirming that the draw insights reconcile with your raffle ticket sales before the draw is run.
Run the Draw
Once you are satisfied that the draw has been set up correctly and the draw population has been verified, an authorised member of your organisation can run the draw.
- Click Run Draw.
Vega will first display the population included in the draw. Depending on the draw type, this will show either the total number of tickets or the total number of contacts included.
- Review the population and click Verify.
Vega will perform another check and display a prompt to proceed with the draw.
| One Entry Per Ticket | One Entry Per Contact |
- Click Draw.
Vega will prompt you to select the first winner.
Click Pick a Winner.
Vega will randomly select the winner from the draw pool.
The winning details displayed will depend on the draw type. Vega will display the contact's available details, including their:
- Name
- Address
- Phone number
- Email address
For One Entry Per Ticket, Vega will also display the relevant order number and winning ticket number.
| One Entry Per Ticket | One Entry Per Contact |
Selecting Multiple Winners
If your draw has been configured for more than one winner, click Pick a Winner again to select the next winner.
Continue until all required winners have been selected.
Once all winners have been selected, click Verify to confirm the winners and complete the draw.
Completed Draw
Once the draw has been verified, Vega will display the completed draw details.
The results are saved to the Raffle Draw campaign action and can be viewed again in the future.
If you exit the draw during the verification process, Vega will save your progress at the current step. You can return to the draw and continue the process later.
Each winning contact will also have a record under their Products tab showing the Winning Products.
