The Quick Raffle setup makes it easier to create a raffle in Vega by automatically creating the products, documents and communications based on the options you select.
The raffle can still be reviewed and customised after it has been created, but Quick Raffle provides a starting point for the main components of your campaign.

⭐Before You Begin
Before creating your Quick Raffle, make sure you have:
- Confirmed the raffle launch and draw dates.
- Decided on your ticket price and total ticket capacity.
- Confirmed the raffle income target and expected expenses.
- Determined whether you will offer a multi-buy ticket option.
- Confirmed the GL Codes and bank account to use for raffle payments.
- Prepared any information about your raffle prizes that should be included in your communications and documents.
1. Create or Select a Campaign Header
Go to Engage and either create a new campaign header or select an existing campaign header.
We recommend creating a new campaign header for each raffle. This keeps the raffle campaign, ticket capacity, communications and reporting separate from other raffles.
The campaign header contains several settings that apply to the raffle.
Campaign Header Settings
| Setting | Description |

| Start Date / End Date | Set the period during which tickets will be available for purchase. These dates are checked when raffle tickets are purchased. |
| Capacity | Optional. Sets the total ticket capacity across all raffle actions under this campaign header. If you have multiple ticket-selling channels, such as online and tele-fundraising, the capacity applies to the combined total. |
| Ticket Number Seed | Optional. Sets the first ticket number available for raffle actions created under this campaign header. |
| Campaign Header Image | Optional. Add an image to use in documents created as part of the Quick Raffle setup. This could be an image of the prize or prizes available to win. |
Tip: If you are using Quick Raffle to create the entire campaign, set the campaign header dates to cover the period during which tickets will be available for purchase.
Click New Action and select Quick Raffle.
2. Configure Your Quick Raffle
The Quick Raffle setup is completed in three steps:
- Name and Schedule
- Raffle Response Settings
- Raffle Summary
Step 1: Name and Schedule Your Raffle
Enter the basic details for your raffle.

| Name | Enter the name of your raffle. |
| Raffle Launch Date/Time | Enter the date and time that tickets become available for purchase. This is also used when scheduling raffle communications. The default is tomorrow. |
| Raffle Draw Date/Time | Enter the date and time that the raffle will be drawn. Ticket sales will close 48 hours before the draw. The default is one month from the current date. |
| Target | Enter the target income for the raffle. |
| Expenses | Enter the expected cost of running the raffle. |
| Single Ticket Price | Enter the price of a single raffle ticket. |
| Total Ticket Capacity | Enter the maximum number of tickets that can be sold. |
| Multi-buy Price | Optional. Enter the price for a multi-ticket purchase. For example, you could offer three tickets for $25. |
| Multi-buy Quantity | Enter the number of tickets included in the multi-buy option. |
| Description | Enter information about the raffle, such as the prizes and other important details. This information can be included in documents using the relevant merge tag. |
Note: The Quick Raffle setup automatically creates the ticket options based on the single ticket and multi-buy settings you enter.
Step 2: Configure Raffle Response Settings
Use this step to select the documents and financial settings for your raffle.

| Ticket Document | The document containing the raffle ticket information. It is added to the widget to be sent by email after the payment has been created and ticket numbers have been assigned. This can take approximately 15 minutes after the widget is submitted. It is also added to the event response settings for payments manually added in Vega. |
| Donation Receipt | The email document used when a purchase includes an additional donation. The tax receipt document is included as an attachment. |
| Acknowledgement Document | Optional. An email sent immediately after the widget is submitted to confirm that the purchase has been received and the ticket details will follow. |
| Ticket GL Code | The GL Code used for raffle ticket income. This should have GST assigned and should be separate from the donation GL Code. |
| Donation GL Code | The GL Code used when an additional donation is included with the raffle purchase. |
| Bank Account | The bank account to which raffle payments will be allocated. |
| Auto-create Communications? | Optional. Select this to automatically create scheduled email communications to promote your raffle. |
Use Vega Default Documents
Selecting Use Vega Default Documents will automatically create the documents required for your raffle.
The following documents are created:

The documents can be used as created or edited after the Quick Raffle has been set up to add information specific to your organisation and raffle.
Tip: Review the automatically created documents before sending your first raffle communication to make sure the content meets your requirements and any applicable raffle licence conditions.
Auto-create Communications
When Auto-create Communications? is selected, Vega creates a series of scheduled email actions to promote your raffle.
The communications are created as drafts by default. This allows you to review the recipients, queries and content before the emails are sent.

Note: The 6 Weeks to Go communication is only created when the raffle draw date is more than eight weeks after the launch date.
The scheduled communications are created as drafts so you can confirm that the recipient queries are appropriate for your organisation before allowing them to send automatically.
Step 3: Review the Raffle Summary
Review the information displayed in the summary to confirm that your raffle has been configured correctly.
When you are happy with the settings, click Create.
Vega will create the raffle campaign and take you to the raffle configuration screen.
3. Review Your Raffle Configuration
The raffle is created using the settings entered during the Quick Raffle setup.
You can review the configuration under:
- Raffle Event Setup
- Dates Setup
- Response Setup
- Products.
The ticket options are automatically created for you and can be viewed under the Products tab.
You can also:
- Preview the raffle widget.
- Copy the iframe code.
- Open the widget configuration.
- Review the automatically created documents.
- Review the scheduled communications.
Important: The Quick Raffle is automatically published when it is created. If you need to make changes to the raffle configuration, click Undo Publish first.
4. Review Your Communications
If you selected Auto-create Communications?, the communications will be available under the Communications tab.
They will also appear as scheduled actions under the campaign header.
The queries used for the scheduled communications are automatically created and can be found under My Queries and in the Existing Queries tab of the Custom Query tool.
Tip: Review the automatically created queries before allowing the communications to send. You can edit the queries to include additional criteria, such as specific attributes or other contact requirements, to ensure the emails are sent to the appropriate contacts.
5. Configure the Raffle Widget
The raffle widget is created automatically as part of the Quick Raffle setup.
To configure the widget, click Configure from the raffle setup.
Or go to: Admin > Widget Configuration > Event
The finance and acknowledgement settings will already be populated based on the options selected during the Quick Raffle setup.
You can then customise the widget to include any additional fields or settings required for your raffle.

Your Raffle Is Ready
Once you have reviewed the raffle configuration, documents, communications and widget, your raffle is ready to be embedded on your website.
Use the iframe code provided in the raffle configuration to add the widget to your website and begin accepting ticket purchases.
Before going live: We recommend completing a test purchase and reviewing the resulting payment, ticket numbers, acknowledgement email and receipt to confirm that everything is working as expected.
