This article explains how to set up a raffle campaign in Vega, including creating the campaign action, configuring ticket options, setting up the raffle widget, and publishing the campaign.
The Vega raffle module is available as an add-on for any organisation. For information about adding the raffle module to your subscription, see Raffle Process in Vega. Vega Support can also assist with the initial setup.
⭐Before You Begin
Before creating your raffle, make sure you have:
- Confirmed the raffle campaign dates and draw date.
- Determined the total number of tickets available.
- Decided how ticket numbers will be allocated.
- Created the required Products attributes under Admin > Attributes.
- Created the GL Codes and other financial settings required for raffle payments.
- Confirmed whether you will sell tickets through a Vega widget, manually in Vega, or through multiple channels.
Tip: If you run multiple raffles, create a new campaign header for each raffle. This keeps each raffle and its associated actions, ticket capacity and reporting separate.
1. Create the Campaign Header
Go to Engage and select Add Campaign to create a new campaign header.
| Setting | Description |
|---|---|
| Start Date / End Date | Set the period during which tickets can be processed for the raffle. These dates are checked when raffle tickets are purchased. |
| Capacity | Optional. Sets the total capacity across all raffle actions under the campaign header. If you sell tickets through multiple channels, such as an online widget and tele fundraising, the capacity applies to the combined total. |
| Ticket Number Seed | Optional. Sets the first ticket number available for raffle actions created under this campaign header. |
Note: The campaign header capacity applies across all raffle actions under the header. For example, if you have an online and a telefundraising channel, tickets sold through both channels count towards the same capacity.
Save the campaign header before continuing.
2. Create the Raffle Campaign Action
From within the new campaign header, click New Action.
Select Raffle Channel as the action type.
The raffle configuration screen will open with the following tabs, including:
- Raffle Event Setup
- Dates Setup
- Response Setup
- Attributes
- Roles
- Products
3. Complete Raffle Event Setup
The Raffle Event Setup tab contains the main configuration for your raffle.
| Field | Description |
|---|---|
| Name | Enter the name of the raffle channel. Use a clear name if your raffle has multiple channels. |
| Code | Enter a short code to identify the raffle channel. |
| Type | Displays the campaign action type as Raffle. This cannot be edited. |
| Maximum Ticket Capacity | Enter the maximum number of tickets that can be sold through this raffle action. The available capacity may depend on your raffle licence. |
| Target $ | Enter the target income for this raffle channel. |
| Ticket No. From | Enter the lowest ticket number available for this raffle channel. If a ticket number seed has been set on the campaign header, this number cannot be lower than the campaign header seed. |
| Ticket No. To | Enter the highest ticket number available for this raffle channel. It is recommended that the ticket number range is larger than the maximum ticket capacity to allow for cancelled or unfulfilled tickets. |
| Is Active? | Selected by default to make the raffle action active. |
| Create a Widget | Selected by default. Creates a raffle widget that can be embedded on your website to accept online ticket purchases. |
Tip: Set the Ticket No. To number higher than the maximum ticket capacity where possible. This provides additional ticket numbers if tickets are cancelled or otherwise become unavailable.
4. Set the Raffle Dates
Open the Dates Setup tab.
These dates control when the raffle is available and when the draw takes place.
| Field | Description |
|---|---|
| Event Start Date | Enter the date and time of the raffle draw. |
| Available From | Enter the date and time that tickets become available for purchase. Tickets cannot be purchased in Vega or through the widget before this time. |
| Available To | Enter the date and time that ticket sales close. Tickets cannot be purchased in Vega or through the widget after this time. |
Note: The campaign header dates must also cover the period during which tickets are available for purchase.
5. Configure Response Settings
The Response Setup tab allows you to set default financial and receipting information for payments associated with this raffle action.
These settings are optional.
| Field | Description |
|---|---|
| Response Document | Select the document to use by default when a payment is created in Vega for this campaign action. If selected, this will also be used as the default acknowledgement and attendee acknowledgement document in the widget configuration. |
| Response GL Code | Select the GL Code to use by default when a payment is created in Vega. If selected, this will also be used as the default GL Code in the financial section of the widget configuration. |
| Response Bank Account | Select the bank account to use when a payment is created in Vega. |
Tip: Setting these defaults here can reduce the amount of configuration required when setting up the raffle widget.
6. Save the Raffle Action
Once the Raffle Event Setup, Dates Setup and Response Setup have been completed, click Save in the top-right corner.
After the raffle action has been saved, the widget iframe code will become available.
You can also access the widget configuration by:
- Clicking Configure beneath the iframe code, or
- Going to Admin > Widget Configuration > Event.
The Preview button opens the widget in a new browser tab. Ticket options must be added before the widget preview will display the raffle correctly.
7. Add Raffle Ticket Options
In Vega, Products are used to define ticket options. The same Product attributes can also be used for Ticketed Events.
Before adding ticket options to your raffle, create the required Product attributes under Admin > Attributes.
Go to the Products tab and click Add.
Product Settings
| Field | Description |
|---|---|
| Attribute Type | Select the attribute type for the raffle ticket. This displays the available attribute types in the Products group. |
| Attribute | Select the Product attribute to use as the raffle ticket. This will also be used as the ticket name. |
| Response GL Code | Select the GL Code to apply when this raffle ticket is purchased. This is required. It is recommended that raffle ticket purchases use a dedicated GL Code separate from donations. |
| Start Date | Enter a start date if this ticket should only become available after the raffle's general Available From date. |
| End Date | Enter an end date if this ticket should stop being available before the raffle's general Available To date. |
| Price | Enter the price of the raffle ticket. |
| Label | Enter any additional information or label that should be displayed for the ticket. |
| Active | Selected by default to make the ticket active. |
| Is Merchandise | Leave unticked for standard raffle tickets. Select this when using an attribute for merchandise or another item that should not reduce the raffle capacity. |
| Quantity | Enter the number of tickets deducted from the raffle capacity when this option is purchased. For example, a book containing 10 tickets would have a quantity of 10. |
| Max. Amount Per Purchase | Enter the maximum number of this ticket type that can be purchased in a single transaction. This also controls the quantities available in the widget. |
| Bonus Quantity | Use this to create bonus ticket offers. For example, to offer 5 tickets + 1 bonus ticket, set Quantity to 5 and Bonus Quantity to 1. |
| Bonus applies per total purchase | Applies the bonus quantity once to the entire purchase. For example, purchasing three "5 + 1 bonus" options would provide 15 paid tickets and 1 bonus ticket. |
| Bonus applies per product purchase | Applies the bonus quantity to each option purchased. For example, purchasing three "5 + 1 bonus" options would provide 15 paid tickets and 3 bonus tickets. |
| Related Product | Use this when a ticket option should only appear after another ticket has been selected. The primary or related ticket must be added first. |
| Save | Saves the ticket option. |
Using Ticket Start and End Dates
Ticket-specific dates allow different ticket options to become available at different times.
For example, you could create:
- An Early Bird ticket that is available from the raffle opening date and ends two weeks later.
- A General Sale ticket that becomes available after the Early Bird period.
If no ticket-specific dates are required, the raffle's Available From and Available To dates will control availability.
Tip: The ticket option must be within the raffle's overall availability period. Ticket-specific dates cannot extend beyond the raffle's available period.
Save Your Ticket Options
Click Save after entering each ticket option.
Once all ticket options have been added, click the main Save button in the top-right corner to save the raffle campaign action.
The example below shows three ticket options being added and then displayed on the raffle widget.
Note: A ticket option may not appear on the widget if its start date has not yet been reached.
The recording below demonstrates how to add three ticket options and how they appear on the raffle widget. Note: The single ticket option is not visible in the widget because its configured start date has not yet been reached.
The screenshot below shows each ticket type that was added:
8. Publish the Raffle
Once the raffle has been configured and your ticket options have been added, you can publish the campaign action.
Click Save Publish in the top-right corner.
Publishing makes the raffle campaign action available as an option when adding a payment in Vega.
Note: A raffle widget can process transactions even when the campaign action has not been published. Publishing is required to make the campaign action available for payment processing within Vega.
Editing a Published Raffle
A published raffle campaign action cannot be edited.
To make changes, click Undo Publish first. Once the required changes have been made, save and publish the campaign again.
9. Clone a Raffle Campaign Action
Once a raffle campaign action has been published, you can use Clone to create another raffle action under the same campaign header.
Cloning copies the:
- Raffle event setup
- Response setup
- Products
You will need to update any settings that are different for the new raffle, including the raffle dates, before saving.
Tip: Cloning can save time when you have multiple raffle channels using similar settings.
Note: Create a Widget is not selected by default on a cloned campaign action.
Additional Raffle Settings
Once your raffle has been created, there are additional settings available depending on your requirements.
Ticket Receipting
It is important to acknowledge contacts who purchase raffle tickets and provide an official ticket confirming their entry into the raffle.
Raffle documentation such as acknowledgements, receipts and tickets are all configured in Widget Configuration.
Note: Your raffle licence may require specific information to be included on the ticket. Check your applicable requirements when configuring your receipting.

Tags can be added to a raffle campaign action from the top-left of the screen.
Tags can be used to group campaigns and filter campaign dropdowns within Vega. See Using Tags for more information.
